We can adapt language and policies to your specific programs.

At a glance

  • Shows exactly what to type—and what never to include—in prompts.
  • Uses your circulation, printing, and meeting room policies as practice material.
  • Teaches deflection language for legal, medical, and immigration questions.
  • Includes bilingual and accessibility checks for public-facing drafts.
  • Documents escalation paths so volunteers know when to pause and ask.
  • Ends with a short “assumptions” checklist to reduce hallucinations.

Problem / Why this workshop

Front desks field the widest range of requests—printing help, meeting rooms, behavior issues, and complicated referrals. Staff want AI shortcuts but need clear guardrails to avoid overpromising or collecting sensitive details.

Without structured prompts, outputs drift from policy and create inconsistent messaging across branches. This workshop builds a shared baseline, using your own policy snippets so staff can practice with realistic examples.

What we cover

  1. 1

    Set the baseline

Walk through where AI helps (drafting, translation, summarizing) and where it does not (eligibility, legal/medical answers). Align on the “never include” list and keyword blocks.

  2. 2

    Demo with your policies

Generate a draft email about printing or meeting rooms using your fee amounts and branch hours. Review how citations and the “assumptions” check keep replies accurate.

  3. 3

    Hands-on practice

Small groups practice prompts for signage, patron replies, and volunteer cheat sheets. Facilitator coaches on tone, accessibility, and when to deflect to staff.

  4. 4

    Edge cases and escalation

Review behavior, safety, and privacy scenarios. Show how to strip identifiers and log incidents without copying raw prompts.

  5. 5

    Closeout and next steps

Capture top prompts to save, assign owners for updates, and schedule optional office hours for follow-up questions.

Practice scenarios

Printing and payments

Draft a 120-word reply explaining printing from mobile devices, fee amounts, and what happens if a job fails. Emphasize privacy and when to ask staff for help.

Sample prompt: Include a bilingual line and a reminder that documents are not stored after release.

Meeting room requests

Write a 6-bullet FAQ covering booking windows, food rules, accessibility requests, and late arrivals using your policy text.

Behavior or safety issues

Create a de-escalation script that avoids personal details, uses neutral language, and points to the incident log process.

Volunteer refreshers

Generate a one-page refresher for weekly volunteers on resetting public computers and handling offensive content.

Deliverables

  • Annotated slide deck and recording (if allowed).
  • Prebuilt prompt templates for circulation, printing, and meeting rooms.

FAQ

Do staff need AskLib accounts beforehand?

No. We demo with sanitized examples. If you have accounts, we can practice in a sandbox with your guardrails enabled.

Can volunteers attend?

Yes—just flag their workflows so we tailor prompts and add extra reminders about when to escalate to staff.

What if our policies change often?

We show you how to keep prompts tied to a single source of truth so updates roll out quickly across branches.

Will you cover translation?

We include bilingual prompts and accessibility checks. If you have preferred translations, we bake them into the templates.

How do we measure success?

Track time saved on common replies, fewer policy clarifications at the desk, and a growing library of safe prompts. We provide a simple tracker.
